Automated data entry is a general capability with a specific economics: it pays where the same handful of fields arrive over and over in a broadly similar shape. In a finance team, that is invoices, expense receipts and supplier statements. It pays much less well on contracts, correspondence and anything where the interesting content is prose rather than fields, and buying it for those is a familiar disappointment.
What makes a document a good candidate
A fixed set of fields, a strong incentive to be legible on the sender's part, and enough volume for the setup to amortise. Invoices meet all three, which is why they are the classic case. Documents that arrive twice a year, or whose value is in their wording rather than their numbers, do not, however impressive the extraction demonstration is.
The review step is part of the design
Automated entry that produces values without indicating confidence turns a small keying task into an occasional large reconciliation task. The right shape is extraction plus a review queue for the doubtful cases, and the review screen matters more to your team's daily experience than the engine does. Judge products on that screen.
Where the savings actually land
Not usually in headcount at first, but in cycle time and in error rate. Transcription errors are a steady source of supplier queries and reconciliation work, and removing them shows up in fewer interruptions rather than in a line on a budget. Both matter; only one is easy to put in a business case, and it is worth saying so plainly.
Questions people ask about automated data entry software
Is this the same as OCR?
OCR is the reading step. Automated data entry usually means the whole path from document to a record in a system, which includes validation and posting.
Will it work on our expense receipts?
Usually, though photographs of thermal receipts are the hardest common input. Test the worst ones you actually receive.
Do we still need somebody checking?
Yes, for the fields the software is unsure about. Design the review around those rather than checking everything, or the saving disappears.
