Organisations buy electronic invoice approval software for speed and keep it for the record. Speed is real and immediate: approvals stop waiting for people to reach a desk. The record is what still matters three years later, when somebody asks who authorised a payment and the person who did has left and their mailbox no longer exists.
What a good approval record holds
The approver's identity, the date and time, the amount approved, the documents they were shown, and any comment they made. The last two matter more than they look: an approver who saw only a reference has not meaningfully approved an expenditure, and a comment often explains a decision that looks strange a year later.
