OCR accounts payable work moves rather than disappearing

Updated

Introducing OCR into an accounts payable process changes the shape of the work more than its total, at least at first. Keying disappears, review appears, and the parts that involve judgement are untouched. Teams that plan for that shift settle quickly. Teams that expect the work to simply reduce spend the first quarter surprised that the queue is still there, in a different form.

What disappears

Typing supplier, date, number and totals into a system. On a team keying every invoice manually, that is a genuine and immediate saving, and it also removes transcription errors that previously surfaced as supplier queries weeks later. It is the clearest benefit and the easiest to measure honestly, by timing a sample before and after.

What appears

A review queue. Somebody confirms the fields the software was unsure about, and how large that task is depends entirely on your document mix and on the confidence threshold you set. Setting the threshold is a real decision with a real trade-off: strict means more review, loose means more wrong data reaching the ledger.

What does not move at all

The match, because it compares documents rather than reading one. The coding, because the account is a judgement not printed on the invoice. And every exception conversation with purchasing, a site or a supplier. If those are where your team's time goes, OCR will feel underwhelming, and the honest answer is to measure first.

Questions people ask about ocr accounts payable

How do we set the confidence threshold?

Start strict, measure how much review that generates and how many corrections it catches, then loosen deliberately. The right level is evidence from your own documents rather than a default.

Will it pay for itself?

Work it from your own minutes per invoice, volume and loaded rate. The worksheet on this site does that arithmetic without needing an industry figure.

Does it help with duplicate invoices?

Indirectly, because structured invoice numbers make duplicate detection possible. The detection itself is a separate check worth confirming a product performs.
