Small businesses are sold payables products designed for organisations with a purchasing department, and the surplus capability is not free: every module still needs configuration and maintenance. Invoices arrive in one place, get read without keying, and land on a record with a supplier, an amount, a date received and a status. That alone replaces the shared mailbox and the spreadsheet, which is where most small businesses actually are, and it removes the two questions that consume the most time: has this arrived, and where is it.
Approval that works away from a desk
In a small business the approver is usually the owner or a director, and they are rarely at a desk. Approval on a phone with the invoice visible removes days of elapsed time. It also creates a record of who authorised what, which matters more as the business grows and less obvious authority structures replace everybody knowing everything.
Export you can rely on
Approved invoices into the accounting system without rekeying, and the whole dataset out if you ever leave. Small businesses change software more often than large ones, because they outgrow it, so the export question is more important here rather than less. Ask what it contains, including whether documents come with it.
Questions people ask about accounts payable software for small business
Do we need purchase orders at our size?
Not necessarily, and many small businesses reasonably run without them. The trade-off is that invoices must then be approved on their own merits, which is slower per invoice.
Is our accounting package enough?
Often yes to begin with. The move usually comes when invoices start arriving faster than one person can key them, or when approvals need to happen away from the office.
What should we avoid?
Buying breadth you will not configure. Unused modules still need setup, still generate questions, and still appear in the price.
