Purchase order software for small business needs four things

Updated

Small businesses buying purchase order software are usually shown products designed for organisations with a purchasing department, and the extra surface is a cost rather than a bonus: it has to be configured, explained and maintained. Four capabilities cover the real need at that size, and a product doing those four well beats a suite doing twelve adequately.

Unique numbering and one approval

Numbers issued automatically, never reused, from one source. One approval before the order goes to the supplier, usually by the owner or a director, taking seconds. Together these make the commitment deliberate and make every later match possible. They are also the two rules that manual processes break first, which is often the reason for buying at all.

Line-level receipts

Whoever takes the delivery records what arrived against which line, on whatever device is to hand. This is the capability that separates a purchase order system from a document generator, and the one small-business products most often lack. Test it in a trial: order ten, receive four, and see whether six show as outstanding.

A readable export

Small businesses change software more often than large ones, because they outgrow it. Ask what the export contains and test it during the trial rather than trusting the description. An export that includes orders, lines, receipts and approvals makes any future move cheap, and its absence makes the decision much riskier than it appears.

Questions people ask about purchase order software for small business

Do we need this if we raise five orders a month?

Probably not yet. A controlled numbering sheet and an approval email will do, provided only one person issues numbers.

Should it integrate with our accounting software?

Helpful rather than essential at low volume. Integration is where implementations overrun, so stage it rather than requiring it on day one.

What is the sign we have outgrown a spreadsheet?

Somebody starts a second spreadsheet to track what is outstanding, or two people raise orders with the same number.
